The Architectural Control Committee (ACC) would like to welcome you to the neighborhood. Our committee seems to raise the most questions with new homeowners. So we would like to take this opportunity to tell you a little about the ACC. The Meadow Glen Declaration of Covenants Conditions and Restrictions (CCR’s) require an ACC to be established to promote and ensure a high level of taste, design quality, harmony and conformity throughout the property. The committee is comprised of five members appointed by the Board of Directors. Our purpose is to verify that all exterior modifications within the neighborhood meet the guidelines set forth in the CCR’s and to help maintain the neighborhood’s property values. The ACC’s achieves these goals by reviewing and approving all exterior modifications. Further information about the duties and authority of the ACC can be found in the CCR’s in Section 11.5.

There have been many changes over the last couple of months. Prior to the homeowners taking over the HOA, many of the deed restrictions were not being followed. Going forward, it is necessary that we all adhere to the rules laid forth in the CCR’s.

What does this mean for you? If you intend on altering the appearance of your home, you must submit a request to the ACC for the modification. This includes painting, staining, landscaping or anything else that changes the appearance of your property. Also included is the construction of any additional structures such as sheds, flagpoles, additions, pergolas or playsets (See links below under FAQ #2). The request may take up to 30 days to approve so please allow enough time before construction.

According to Section 11.5 of the CCR’s, under no circumstance shall the exterior of a residential structure or lot be altered in any way without written approval by the ACC. Failure to obtain approval may result in a stop construction order and fines. Although it may seem like a hardship to submit a request every time you want to make changes to your home, it is an important step in maintaining the home values of the neighborhood. As a committee of homeowners, our desire is to work with you to make sure your modification meets not only your wants but also fits with the aesthetics of the neighborhood.

  1. How do I get approval to make modifications to my home?
    • Please fill out an Architectural Control Change Request per the instructions below.
  2. Are storage sheds/playsets/trampolines allowed?
  3. Are basketball goals allowed?
    • -Temporary goals may be used in the front of the house as long as they are put away from the curbside view when not in use. Basketball goals left unattended on the roadway are a city ordinance violation and will be reported to the City of Mansfield Code Compliance Department.  A permanent goal may be installed with the approval of the ACC.
  4. Do I need the approval to paint the trim of my house or to replace my roof?
    • If you are using the same type and color of materials for the repair, no approval is necessary. If you would like to paint your trim a different color, please fill out a Change Request form and submit a color sample to the ACC. The CCR’s do specify the materials that must be used when replacing your roof.
  5. How long does it take to get my request approved?
    • The ACC is required to respond to requests within 30 days of the request. The ACC has monthly meetings so it will depend on how close to the meeting the request is submitted.
  6. I have contractors coming this weekend and I haven’t submitted my request. Will the ACC do rush approvals?
    • Please allow 30 days to receive approval.

Once you are logged in as a resident you will click the building button for architectural modification and complete the fields.  Sign at the bottom and upload the brand brochure or contractor data sheet.  Click next page and complete the fee ($22) for the online software and from there, the committee will receive an email that a new application is in queue.  The committee will log in and review, make any notes or ask for additional information, you will be automatically notified as the actions move along.  Finally, when the project is approved, an approval letter will be created and emailed to you.  After you have the written approval, you may begin the construction.
